Hours and Staff

The Copy Center at Choate Rosemary Hall, located in the basement of the Mellon Library, is available to faculty, staff and students to assist with academic and school-related copying needs.

State-of-the-art technology that monitors image quality and constantly makes adjustments which can run unattended for long periods while producing consistently high quality output.

Rules and Guidelines

The Copyright Law of the United States (Title 17, United States Code) governs the making and use of photocopies or other reproductions of copyrighted material, which may be used in any CRH internal or external communications.

Copying requests may be sent to the Copy Center via:

  • campus mail
  • e-mail (send to Copy Center) If emailing material that was created on a Mac, please note.

A work order request form is available at the Copy Center.

To expedite orders, please be sure this form is filled out with all the necessary information.

Every effort is made for quick turnaround of requested materials. The academic calendar has a great effect on the volume of the workload at given times. Please plan your needs carefully to allow for crunch times.

The Copy Center can assist you with your printing needs and specialized printing orders that might include:

  • Booklet Creations on all size paper folded to specification (e.g. programs for special events, directories, academic information and/or reports)
  • Bound Booklets (on 8 ½ x 11 paper)
  • Invitations (e.g. retirement parties, department gatherings, holiday events)
  • Tickets (e.g. student events such as Last Hurrah or invitation only events)

When considering your needs, please note the Communications Office is available and willing to assist with layout, design, and proofing of publications (either internal or external) at no charge.

Copyright Procedure

Obtaining Copyright permission for Course Packs

If the materials for which you are obtaining copyright permission will be purchased by students for use in class (as in the case of a course pack), you must call the School Store and provide the following information: book/journal, title, author, publisher, publication year, total number of pages (if applicable), and page numbers. The School Store will then obtain the permission and copies for you, collate the pages into your course pack, and handle the billing by including the cost of the permission into the cost of the classroom materials. Allow six weeks notice.

The School Store will receive the invoices and do the reconciliation and bill paying accordingly.

Obtaining Copyright Permission for Graphics for Student Projects or Papers

Students requiring copyright permission for a project or paper (e.g. images and graphics) should speak to their teacher about their needs. It will be left up to the teacher’s discretion to determine the source of payment for charges incurred (e.g. charged to student account or to department account). [Note: This is an attempt to level the playing field with regard to competitive presentations for better grades. We want to teach the students their responsibility regarding copyright issues without penalizing those who can’t afford to incur copyright charges. It is possible that a teacher will tell students that a particular image or graphic is not necessary for the enhancement of a presentation if a charge is required in order to obtain it.]

Obtaining Copyright Permission for Stand-Alone Class Handouts

In order to use a non-course pack document (either printed matter or electronic) that does not fall under the Fair Use statute or the Spontaneity clause (please refer to the “Compliance with Copyright Laws” text in the Academic Life section of the Faculty Handbook) in the classroom, you are required to obtain copyright permission for that document(s) on your own prior to having the materials copied in the Copy Center. Copyright Clearance Center (CCC)

All permissions can be obtained at the Copyright Clearance Center (CCC) and, in many cases, discounts are given for using the Web site. Obtain username and password from your department head.

Please be prepared to provide the following information: book/journal, title, author, publisher, publication year, total number of pages (if applicable), and page numbers. You should try to allow four weeks in advance of needing the document. If you know at the beginning of a school year that you will be using the materials in more than one semester, order enough copies for the entire year. Permission granted for one term does not constitute permission for subsequent terms. This will save you having to obtain permission each term.

CCC will then do the research necessary to obtain your permission. Once you have submitted your order, you may either wait until your permission is granted (in some cases immediately) and a grand total of the cost is provided to you by CCC or, if time is a factor, you may go ahead and make your photocopies and then estimate the charges in order to inform the students in your class what they might expect the final charge to be. In most situations, costs will not exceed .15 per page.

Permissions Procedure

  • A faculty member will determine whether a document fits the Fair Use definition or whether permission is required.
  • When a faculty member determines the need to obtain copyright permission, he/she will follow the procedure above for obtaining copyright permission BEFORE arriving at the Copy Center to make photocopies.
  • He/She will forward a copy of the permission or the pending permission from CCC to the School Store. [Note: If permission is pending from CCC, the permission requestor will receive periodic e-mails from CCC regarding the status of the permission until the permission has either been granted or rejected. Forward these e-mails to the School Store. Once the status is definitive, the requestor will forward the permission or denial of permission to the School Store.]
  • He/She will read and understand the copyright law printed on the Copy Center Request Form and check the appropriate box indicating that the document they are copying either fits the Fair Use definition, has received permission or that permission is pending, or, as in the case of an individual teacher’s test or quiz, does not require permission to print.
  • Once a definitive charge is determined, the School Store will send a copy of the Student Charge Sheet to the faculty member to take to class for students to sign for permission to charge against their debit cards. The faculty member will then send the completed sheets back to the School Store.
  • The School Store will receive invoices on our account from CCC and do the reconciliation and bill paying accordingly. If permission is denied, a charge will never take place. The fact that the copies were already made is irrelevant as long as an attempt was made to gain permission.
